Travel & Safety Frequently Asked Questions

Q: Is the event still taking place?

Capacity LATAM will be going ahead at the Sheraton Grand Hotel & Resort, Rio de Janeiro on the 20th and 21st March as planned.

Q: Is it safe to travel to Rio de Janeiro?

Rio de Janeiro is a city where there are always high levels of petty crime.  In recent years, there have been increased and often violent clashes between criminal gangs and the police.

As a result, on multiple occasions in the last year, the military has been deployed throughout the city to attempt to fill the gaps in security which local authorities cannot. The deployment of military personnel has involved an increased number of security operations being launched in and near Rio’s favelas.

The aim of the military presence is to reduce crime and improve safety and security in Rio de Janeiro.

Capacity has commissioned International SOS, the world’s largest medical & travel risk assessment firm to review our safety and security plans for Capacity LATAM 2018.  Following that review, we have taken the decision that there is no reason to cancel the event.

Q: What measures have been taken to ensure the safety of all delegates attending Capacity LATAM 2018?

The security of our participants as well as our employees and contractors is our first priority.

We have been working closely with the Sheraton Grand Hotel & Resort to ensure we have enhanced security for the duration of the event and will be continuing to do so in the run-up to and during the event.

Q: I don’t have accommodation at the Sheraton Grand Rio. Where should I stay?

We do recommend that if possible, you stay at the Sheraton Grand Rio.  However, if you have not been able to book bedrooms at the Sheraton Grand Hotel & Resort, we recommend staying in areas such as Leblon, Ipanema and Barra Da Tijuca.

We have partnered with MICE Concierge who are helping all delegates with accommodation requests in these areas.

Q: Are there precautions I can take to make my stay in Rio safer?

• Ensure you have adequate travel insurance and contact information for your country’s embassy
• Only book taxis and airport transfers and picks ups/drop offs through your hotel or use only licenced taxi operators
• If you do not use a hotel car when arriving at the airport, make sure you use a registered Rio taxi, booked on site at the airport. It is a good precaution to ensure that your taxi has doors that lock and preferably tinted windows.
• Do not wear any expensive valuables including watches, jewellery & designer bags
• Take with you photocopies of your passports & ID cards and leave the original in hotel room safe box
• Do not enter any favelas under any circumstances and ensure taxis avoid routes into favelas (we recommend checking before you go on your journey with the driver)
• Do not walk along public beaches and promenades at night
• Avoid using the inner streets of Copacabana, Ipanema and Leblon at night, as police presence in those areas tends to be reduced.
• When travelling in taxis or generally when outside of the Sheraton hotel environs, do not have mobile phones, expensive watches or other valuables in view
• Do not travel with a lot of cash and only take essentials
• Do not walk down Avenue Niemeyer West of the Sheraton Grand Hotel & Resort
• Be aware of people approaching the vehicle to sell you items or ask for information and keep doors locked and windows closed.
• Be aware of the geography in the region in order to avoid accidentally entering high-risk areas, particularly Vidigal and Rocinha favelas located in the vicinity of both the Sheraton Grand Hotel & Resort and the Pullman. Plan routes prior to departure.
• Avoid using public transport, as they are susceptible to opportunistic crime. Use only official taxis or hire a private vehicle and driver
• If you need cash, withdraw money from the Airport or Hotel ATMs
• If you were to become the target of a violent crime, do not resist. Criminals are often armed and prepared to use violence if the victim shows signs of resistance.

We are satisfied that there is no reason to cancel the event following our careful due diligence and checks.  We recommend that delegates follow our guidance regarding on transportation to/from the event.  We also recommend that delegates remain in the environs of the Sheraton at all times, or one of the hotels in the areas referred to above.  Our own staff will be required to follow these guidelines at all times and will not, for example, be permitted to take trips into other areas of the city or its beaches.
